The BITSAA International team understands the value of the privacy of any information you provide on this portal. Your privacy is very important to us. Accordingly, we have developed this policy in order for you to understand how we collect, use, communicate and disclose and make use of personal information

Each application for Registration to the portal is carefully reviewed by the BITSAA Leadership Team to ensure the authenticity of the applicant.

How is personal information collected?

Personal information from the alumni is collected at the time of registration on the portal. Any new information required will be collected periodically on a need basis whenever the situation demands. Before or at the time of collecting personal information, we will identify the purposes for which information is being collected. We will collect personal information by lawful and fair means and, where appropriate, with the knowledge or consent of the individual concerned.

How is the information used?

All personally identifiable information contained in BITSAA International membership databases is treated as confidential and will be used only for the purposes stated at the time of collection. Email and contact of alumni will be used when they are looked up for by other alumni. Personal Information is never transferred, disclosed or otherwise shared with any third party or third parties for commercial use without the prior written consent of the data subject, except in the event that BITSAA International is required to disclose Personal Information pursuant to any applicable Laws and/or Codes or as required by a valid court or governmental order.

Who can access the information?

Fields left to public access can be accessed by any BITSian registered on the bitsaa.org portal. BITSians/non-BITSians who are not registered on the portal but request access of such information will be denied the right to obtain it and would demand him to go through the registration process as mentioned in the www.bitsaa.org website.

Protection of Personal Information

BITSAA International maintains all personal data with technical, administrative, and physical safeguards to protect against loss, unauthorized access, destruction, misuse, modification, and improper disclosure. No computer system or information can ever be fully protected against every possible hazard and BITSAA International provides reasonable and appropriate security controls to protect personal information against foreseeable hazards BITSAA International's internal databases that contain personal information are password protected and BITSAA International limits access to such databases to only those BITSAA International leaders with a "need-to-know" such personal information. Additionally, BITSAA International's teams are bound by, and agree to comply with, confidentiality obligations and requirements.

Online Alumni Directory

BITSAA International maintains the Alumni Directory for the purposes of facilitating networking and interaction between Alumni and helping Alumni keep in touch with BITSians all over the world. The directory is user ID and password protected, and may only be accessed by authenticated Alumni of BITS Pilani. BITSAA has taken commercially reasonable precautions to secure the personal information as outlined in the above points. However, it is the users ‘responsibility to restrict or hide personal information that they do not wish to be generally available in the alumni directory.

The registration page allows the alumni to choose which information you would like to display to Alumni Directory Members. If the alumni would like to keep some information private then the uncheck option checked box next to data field can be used to keep those data fields private.Information in all checked fields is visible to all members of this portal and can be accessed by all registered members.

Alumni who have registered in the BITSAA Alumni directory will have access to information in the directory, but may not use the information they obtain for commercial or political purposes, promotions, advocacy, or any other purpose, business or otherwise except to facilitate individual personal communication or business of BITS Pilani.BITSAA International will not be held liable for any unauthorized use by Alumni who do not adhere to these policies.

Email Policy

BITSAA International does not sell, rent, or exchange email addresses of its members. BITSAA International uses email addresses to send the following - Newsletters and other publications of BITSAA, important communications, event updates, email distribution lists targeted at BITSAA International, email messaging that is part of a group for which the member has registered to etc. These announcements are short, straightforward messages that are sent to the registered alumni on a regular basis without spamming their mail box.

All BITSAA email distribution lists have "unsubscribe" instructions.

Enforcement

BITSAA International is committed to working with individuals to obtain a fair resolution to any complaints or disputes about privacy and personal information. Please address any complaints or concerns about this Privacy Policy, to the BITSAA International Executive Team at bitsaa-executives@bitsaa.org.

Agreement

By using this web site you are agreeing to be bound by the then current version of these Terms and Conditions of Use. BITSAA International hereby reserves the right to make changes to this privacy policy, from time to time, and will post such changes on the website for you to review on a regular basis.
